Trello: ¿Cómo organizar portafolios de proyectos?

Trello is a tool used to manage a project and its simplicity has generated its adoption by companies of all sizes.

However, when managing more than one project, the tool offers a power-up called Big Picture that makes managing portfolios easier. Here are the steps for installation and use:

Step 1: Install BigPicture on your board:

Note: When clicking the BigPicture button for the first time many people, myself included, get an error “It seems you don't like our cookies”. To do this, cookies must be activated according to the browser you use, following the simple steps described here: https://wiki.softwareplant.com/display/DOCUMENTATION/Unauthorized+in+BigGantt+Cloud

Step 2: Select the set of projects you want to manage:

Step 3: Once installed it is very easy to change it according to how you want to manage your projects. For example, you can:

  • Group by tags
  • Change colors to tasks
  • set durations
  • Create dependencies and delete them
  • Place a marker like in Ms Project and change the time scale

When we have shared resources between projects, having a portfolio level view can help us a lot. With the configurations shown we can, for example:

  • Visualize days in which a team member has many tasks and in different projects, which will allow us to modify our planning and level the effort.
    • Easily configure the duration of tasks and map dependencies between tasks from different projects in the portfolio.
    • Validate if we have overdue tasks within the critical path.

The tools make our tasks and decisions easier for us, however, I consider it important to follow recommended practices, adapt them to our company and rely on the tools.
