{"id":9264,"date":"2022-08-31T00:43:30","date_gmt":"2022-08-31T00:43:30","guid":{"rendered":"https:\/\/nataliabejar.com\/?p=9264"},"modified":"2022-09-30T05:05:50","modified_gmt":"2022-09-30T05:05:50","slug":"mitos-y-verdades-de-una-pmo","status":"publish","type":"post","link":"https:\/\/nataliabejar.com\/en\/proyectos\/mitos-y-verdades-de-una-pmo\/","title":{"rendered":"Myths and truths of a PMO"},"content":{"rendered":"<p>A <a href=\"https:\/\/assets.kpmg\/content\/dam\/kpmg\/au\/pdf\/2019\/future-of-project-management-global-outlook-2019-report.pdf\">study<\/a> of <a href=\"https:\/\/home.kpmg\/xx\/en\/home.html\">KPMG<\/a>, <a href=\"https:\/\/aipm.com.au\">AIPM<\/a> and <a href=\"https:\/\/www.ipma.world\">IPMA<\/a> showed that 40% of the companies have a PMO. Of which, 36% implemented the PMO to improve project governance, 18% to prioritize strategic activities, and 12% to improve maturity in project management.<\/p>\n\n\n\n<p>\ud83d\udea8\ud83d\udea8\ud83d\udea8\ud83d\udea8However, the same study alarmed that 30% of companies dispensed with their PMO in 2021 due to: failing to align company divisions and being considered an overrun. Incredible, but it is totally valid that managers eliminate areas with little perception of value to the organization.<\/p>\n\n\n\n<p>Now you will tell me, but if the organizations are eliminating them, why are we going to talk about this topic. And it is because there are many success stories that he has collected <a href=\"https:\/\/www.pmoga.world\/pmovr\">PMOGA<\/a> around the world with PMO&#039;s with more than ten years of permanence, achieving a 94% of projects completed on time, cost and achieving their objectives.<\/p>\n\n\n\n<p>I remember when I was at university it was not very clear to me what the PMO (Project Management Office) was, also I have heard many people in different jobs confuse the PMO with the PM. <br>To define the PMO and find out how it can add value, we will play Truth or Myth:<\/p>\n\n\n\n<p><\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026The PMO has to control the projects\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>MYTH!.<\/strong> Even before knowing the methodology <a href=\"https:\/\/www.pmoga.world\/pmovr\">value ring<\/a>, for me it was a truth. But, the PMO&#039;s must be a service provider, carrying out the functions that satisfy the benefits of the interested parties. Only in this way will they add value and be able to survive. Therefore, classifying the PMO only in control will lead us to the absence of a perception of its long-term value.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026If your PMO is not strategic, it will die\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>MYTH!.<\/strong> If your PMO strictly follows a pre-established type of PMO (operational, control or strategic) it can cause your stakeholders not to see its value after a while. For example, if your PMO is an operational 100% and its functions are short-term, it may happen that the operational work is transferred to other positions and the PMO is dispensed with.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026I need to hire one or two PMO&#039;s\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>MYTH!.<\/strong> The PMO is an office, therefore they cannot contract one, two or three offices. PMO&#039;s must reinvent themselves annually&quot;<\/p><\/blockquote>\n\n\n\n<p><strong>TRUE!.<\/strong> The Value Ring methodology suggests reinventing itself annually, fulfilling eight steps to ensure that the PMO is meeting the expectations of the stakeholders and its functions are balanced between the short, medium and long term.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026We need the service of an Operational PMO\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>MYTH!. <\/strong>In consultancy we often receive the requirements of the clients and on more than one occasion we have received &quot;Service for the implementation of an Operational PMO&quot;. And at that moment, I think that this PMO has a high probability of failing, since pigeonholing it into one type of function will make it be perceived as an extra cost that does not ensure the success of the projects.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026The PMO has customers to serve\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>TRUE!.<\/strong> The PMO must provide services that satisfy its stakeholders (PMO sponsor, project leaders, Program Managers, Suppliers, Clients, company areas, among others). Therefore, you have customers to whom you can deliver value functions.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote\"><p>\u201c\u2026Our PMO documents and schedules meetings\u201d<\/p><\/blockquote>\n\n\n\n<p><strong>MYTH!.<\/strong> Many PMO&#039;s have junior roles that are dedicated to tasks such as documenting, generating minutes and scheduling project meetings. Despite this, it is the obligation of the PMO Leader to balance the functions and prevent stakeholders from seeing these offices as synonymous with &quot;project secretaries&quot;.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<p>With these truths and myths I wanted to show you my concept of PMO.
